What is a Lead and how to Add, Update and Manage Leads

What is a Lead?

Leads are the sales enquiries which come into a business and therefore would typically be processed by Salespeople in a business.

How do I add my Leads?

There are 2 ways to add a Lead:

  1. Go to Leads / Live Leads / Add Lead / Select Customer Name

  2. Go to Customer / View Customer / Click Customer Name / Leads / Add Leads

Note – in order to use Leads, you must have setup a Lead Workflow already which only needs to be done once. For each Lead you add a Workflow is assigned to the Lead which basically tells Lucro and the person who is assigned to follow up the Lead, all the Tasks they need to follow and the order in which they need to be completed.

What are the different Lead Menus?

There are 6 different sub menu options in the Leads area and so we summarise the different options below to make clear which option to use:

Live Leads

Shows all leads which are currently open / active and currently being worked. A live lead can be closed or snoozed at any time.
If you are a Super Admin or Admin User, then you will see ALL the company-wide currently open leads, or if you are General User, you will only see your own leads assigned to you.

Snoozed Leads

Shows all leads which are currently Snoozed – ie. still Open but put on the back-burner for a period of time and which differentiates these leads to the Live Leads which are currently being worked.

If you are a Super Admin or Admin User, then you will see ALL the company-wide currently snoozed leads, or if you are General User, you will only see your own leads assigned to you.

Closed Leads

Shows all leads which are currently Closed – ie. no longer being worked on and have been closed down. A closed lead can be re-opened at any time.

If you are a Super Admin or Admin User, then you will see ALL the company-wide currently closed leads, or if you are General User, you will only see your own leads assigned to you.

Converted Leads

Shows all leads which have been Converted to a Contract – i.e. the lead has proceeded to a sale. Upon being converted to a Contract, the lead moves for the Live menu to the Converted menu and a new Contract created for the Customer.

If you are a Super Admin or Admin User, then you will see ALL the converted leads, or if you are General User, you will only see your own leads assigned to you.

Lead List

Full list of ALL leads ever added to Lucro, regardless of their status – i.e. includes all live, snoozed, converted and closed leads.

If you are a Super Admin or Admin User, then you will see ALL company-wide leads ever added from the Lead List, or if you are General User, you will only see your own leads ever assigned to you.

Outstanding Tasks

A list of all current outstanding Lead Tasks, itemised per Lead with the Customer name, Current Status and User name responsible for the Task Outstanding.

If you are a Super Admin or Admin User, then you will see ALL company-wide Lead Tasks Outstanding, or if you are General User, you will only see your own leads Tasks Outstanding.

How do I update a Lead?

Lead updates are automatically posted onto the Activity Feed and also update the Traffic Light system which appears in multiple areas of Lucro. For more information on who Traffic Lights work, please refer to the Traffic Light article.

To update a Lead, the main types of ways you can update it from either the Live Leads or Converted Leads menus:

Mark Completed

This marks the current “in progress” task as completed and moves the workflow onto the next task.

Edit

Ability to edit the main criteria on a lead such as the Potential value, User Assigned, Product / Service etc.

Tasks

This is the last of tasks which exist in the Workflow, with all completed tasks automatically marked with the date and timestamp they were completed / updated. From the Tasks page, further Action options are given:

o Mark Completed (current “In Progress” task only)

o Edit – ability to add a comment to the task

o Contact options (email / sms / call)

o Snooze

o Audit Trail

Convert

Changes the status of the Lead into a Contract.

Changes the status of the Lead to move it from the Live Leads menu to Snoozed.

What are the different Action options for a Lead?

From the Live Leads menu, the following list of Action options are presented:

Mark Completed

This marks the current “in progress” task as completed and moves the workflow onto the next task.

Edit

Delete

Fully removes the Lead from the system. Only Super Admin Users can delete leads.

o Edit – ability to add a comment to the task

​Convert

Changes the status of the Lead into a Contract.

Snooze

Changes the status of the Lead to move it from the Live Leads menu to Snoozed.

Close

Changes the status of the Lead to move it from the Live Leads menu to Closed.

Contact options (email / sms / call)

Pin

Moves the Lead to the top of the Live Leads list to give it higher exposure. A small Pin icon is added to the Lead below the Lead ID. Pinned leads can be “Unpinned” at any time via the Action menu to remove them from the top of the Lead list.


Schedule

The ability to schedule an Activity for a Lead – such as a Meeting, Call or To Do etc. Scheduled Activities have the ability for priorities to be set, along with reminders and follow-up activities. Scheduled activities will appear in the list of Activities and also in the Activity Feed for the User at the time of the Activity and marked as Overdue if not completed at the time of the Activity.
